Sign documents in app.solar: how to get started
Sign completed documents on your phone or computer, see whose signature is still missing, and keep signatures with the final PDF. Here is how to get started with the beta.
The self-inspection is filled in and the work is documented. Now you can sign it directly in app.solar. Review the document, draw your signature on your phone or computer, and see which colleagues still need to sign.
Document signing is now available in beta. You choose which documents require signatures in your organization’s settings.
Choose which documents need a signature
Open Settings → Documents and turn on Signature for the document source you want to use. Changes are saved automatically. For a first try, choose a self-inspection checklist you already use.
If the checklist or template is missing from the settings, select Add document source, choose the existing checklist or template, and add it. You can then enable signatures for that source. This is an organization setting, so it applies to documents using that source.
Signing is supported for self-inspections, product inspections, string layouts, string measurements, and documents created from templates. Uploaded files are not supported in this signing flow.
Sign your first self-inspection
- Finish the checklist. Open a self-inspection using the checklist you enabled above. Fill in the answers and check that the document is ready.
- Complete the document. In the File menu, choose Lock document and confirm. With signatures enabled, this opens the signing view. If the document is already completed, choose File → Sign document.
- Review the preview and signatories. Read through the document before signing. Check that everyone who needs to sign is listed. If your name is missing, use Add signatory to add yourself.
- Draw your signature. Select Sign now for your name. Use your finger on a touch screen or your pointer on a computer. Select Clear if you want to start again.
- Confirm. Select Apply signature. Your entry changes to Signed, with the signing date and time.
The document must be completed before it can be signed. Completing it also locks its contents; if you need to change them later, create a new version.
Save your signature for next time
Before confirming, you can select Save as standard signature. Your saved signature is filled in the next time you sign, so you do not need to draw it again. You still review and confirm each signature yourself.
Bring in the other signatories
app.solar adds signatories based on who last updated the document or its checklist answers. Check the list and use Add signatory to include additional members of your organization, such as a colleague who should review the finished work.
Each person signs with their own account. When the document is ready, pending signatories receive a notification in app.solar that opens the signing view.
Follow progress through to the finished PDF
The signatory list shows Signed or Awaiting signature for each person. While signatures are outstanding, the document remains in an awaiting-signatures state. Once all requested signatures have been collected, the PDF is regenerated with the signatures and signing details.
To try it, open your document settings, enable Signature for one checklist, and follow the steps above on your next self-inspection.
